An administrator can enable Interview Notes under Admin → Company Settings → Application View.
Once enabled, a dedicated panel is displayed on the right-hand side of the candidate's application, where interview notes can be entered digitally.
Users with the permission level Write, Comment and Score or higher can create and edit interview notes.
Users with lower permission levels can view interview notes but cannot edit them.
New as of October 7, 2026
It is now possible to extend the functionality of Interview Notes by using the company's uploaded interview templates as the basis for note-taking. Instead of starting with a blank document, users can select an interview template from Company Documents and document the interview directly in Varbi. The notes are saved on the candidate's application and become part of the recruitment documentation. It is still possible to create blank interview notes when needed.
(Administrators: Contact Varbi Support if you would like to enable the interview template functionality for Interview Notes.)
How to create an interview note
Open the candidate's application and navigate to Interview Notes. From there, you can create a new note either from an interview template or as a blank note. If a template is selected, the content from the document is imported into the editor, where you can complete the notes during the interview. The system automatically saves drafts while you work.
Multiple interview notes can be created for the same candidate, for example for first- and second-round interviews.
Permissions
Users with the Write, Comment and Score permission level or higher can create and edit their own interview notes.
Users with lower permission levels can view saved interview notes but cannot create or edit them.
Interview notes created by other users can be opened in read-only mode but cannot be edited.
Once a recruitment project has been closed, all interview notes become read-only.
Managing interview templates
Interview templates are retrieved from the company's document library. Only Word documents in .docx format can be used as templates for interview notes.
When an interview note is created from a template, a copy of the template content is saved within the note.
Therefore, if the original template is updated later, previously created interview notes will not be affected.
